Kyocera Scan to Email Error Codes and Fixes
Kyocera publishes a common set of send-error codes for failures between the printer and an SMTP/POP3 mail server. Use the exact code below to separate server lookup, login, network timeout, sender-address, size-limit, authentication-method and SSL/certificate problems.
1101 — SMTP/POP3 server not found
The printer cannot find the configured mail server on the network.
- Verify the SMTP/POP3 server name or IP address entered on the printer.
- Check the printer's IP, gateway and DNS settings.
- If a hostname is used, confirm the configured DNS server can resolve it and that routing to the mail server is available.
1102 — SMTP/POP3 login failed
The printer reached the mail service but could not log in with the configured account.
- Recheck the SMTP/POP3 username and password.
- Confirm the account is valid on the configured mail server.
- Retry after correcting the credentials; do not disable authentication as a workaround.
1104 — Mail domain unreachable
Kyocera describes this as a domain that cannot be reached because of settings or restrictions.
- Review the SMTP server, port and related parameters entered on the device.
- Confirm the printer's network is allowed to reach the configured mail service.
- If the settings are managed by an organization, verify the permitted SMTP relay or mail-service requirements with the administrator.
1105 — SMTP protocol disabled
The device's SMTP protocol is not enabled.
- Open the device's network/protocol settings.
- Confirm SMTP is enabled for Scan to Email.
- Save the setting and retry the scan.
1106 — Sender address missing
No sender email address is configured on the device.
- Enter the sender address required by the configured mail account.
- Review the SMTP settings at the same time.
- Retry with a sender address that the mail server allows for that account.
2101 — Cannot connect to SMTP/POP3 server
The printer cannot establish a connection to the configured mail server.
- Verify the server name and SMTP/POP3 port number.
- Check the printer's network cable or network link and its IP, gateway and DNS settings.
- Confirm the surrounding network and the mail server are available before retrying.
2102 — SMTP/POP3 connection timed out
The connection attempt to the mail server took too long and timed out.
- Verify the server name and port number.
- Check the printer's network settings and the route from the printer network to the mail server.
- Confirm the mail server is responding on the configured service before retrying.
2201 — Mail-server connection failed
The printer could not complete the network connection to the SMTP/POP3 server.
- Check the printer's network configuration.
- Check the network the printer is connected to, including routing to the mail server.
- Correct the network path before changing mail credentials.
2202 — Mail-server connection timed out
The network connection to the SMTP/POP3 server timed out.
- Check the printer's network configuration.
- Confirm the network path to the mail server is available and not timing out.
- Retry only after network connectivity is stable.
2204 — Scanned document exceeds the configured limit
Kyocera's error table indicates that the document exceeds a configured limit.
- Reduce the scan size by lowering resolution, using appropriate compression, scanning fewer pages, or avoiding unnecessary full-color output.
- If policy allows, have the administrator verify the device and mail-service size limits.
- Retry with a smaller scan rather than bypassing server restrictions.
3101 — SMTP/POP3 server returned an error
The mail server responded with an error instead of accepting the operation.
- Check the printer's network settings and the mail server's availability.
- Verify the sender address and configured mail account belong together as required by Kyocera's guidance.
- Correct the server/account configuration and retry.
3201 — No supported SMTP authentication method
The server is not offering an SMTP authentication method supported by the device.
- Check the SMTP server's authentication configuration.
- Kyocera lists CRAM-MD5, DIGEST-MD5, PLAIN and LOGIN as supported methods on this error-code reference.
- Use a mail-server configuration that provides a supported method while keeping the connection and authentication settings consistent with your organization's security requirements.
4803 — SSL connection failed
The printer could not create the SSL connection to the SMTP/POP3 server.
- Check the certificates installed or trusted on the Kyocera device.
- Check the mail server's certificate.
- Verify the printer and server use matching SMTP/POP3 SSL settings. Do not bypass certificate validation to make the error disappear.
Before troubleshooting the codes
Kyocera's reference says Scan to Email requires the printer to be on a network and an SMTP mail server to be available. If the mail server is outside the local network, the printer needs a gateway; if a hostname is used instead of an IP address, the printer needs working DNS.
