Computer Can't Find the Printer? Check This First

If the computer cannot find the printer at all, first confirm whether this is a USB connection problem or a network discovery problem. The fixes are different.

Quick checks

  • Make sure the printer is on and finished starting.
  • If you use USB, connect it directly and try another port if available.
  • If you use Wi-Fi, compare the printer's network name with the computer's network.
  • Use the normal Add printer screen before downloading any utility from search results.

Try these fixes in order

Step 1

Identify USB or network

A visible USB cable going from printer to computer means start with USB. If there is no USB cable, the printer is probably being used over Wi-Fi or Ethernet.

Step 2

For USB, test the physical connection

Reconnect the cable, try another USB port, and avoid a hub while testing. Watch whether Windows reacts or the printer appears.

Step 3

For Wi-Fi, compare network names

The printer and computer should normally be on the same home or office network. Guest networks can prevent devices from seeing each other.

Step 4

Run normal printer discovery

On Windows, use Settings → Bluetooth & devices → Printers & scanners → Add device. On Mac, use System Settings → Printers & Scanners → Add Printer, Scanner, or Fax.

Step 5

If normal discovery fails, do not guess

Find the printer's IP address if it is network connected. That tells you whether the printer is actually on the network and gives you a better next step.
